There is no single best AI for everything. The choice depends on which tools your company already uses, what data it will handle and what each team needs. This is the comparison I walk my clients through, without selling any of them.

## At a glance

- **Rule 1:** Use a business plan, not personal accounts
- **Rule 2:** Choose by ecosystem: Microsoft 365 or Google Workspace
- **Rule 3:** Check where data is processed and whether it is used for training
- **Pricing:** Changes often: quoted at current rates
- **Combining:** Many companies use more than one

## Personal plan or business plan

The most important difference is not the model but the plan. Business plans (ChatGPT Business or Enterprise, Microsoft 365 Copilot, Gemini in Google Workspace, Claude Team or Enterprise) do not use your data to train models by default and give the company central administration: users, permissions, corporate sign-in and the ability to remove people who leave.

On many personal plans, free or paid, conversations may be used to improve models unless each person opts out, and the company has no control over those accounts. For customer data or internal information, a personal plan is not an option.

## How to choose

- If your company lives in Outlook, Teams, Word and Excel, Microsoft Copilot works directly on your email and files. Clean up SharePoint and OneDrive permissions first: Copilot sees everything each user can see.
- If you use Gmail, Drive and Docs, Gemini in Google Workspace is the natural path, and NotebookLM helps you work on your own documents.
- If you want a general tool to write, analyze and build custom assistants, ChatGPT and Claude are the most complete; Claude stands out with long documents, writing and coding.
- For very sensitive data there are open models you can run on your own infrastructure, with more technical work.
- Before using any free app, DeepSeek included, check where it processes data and under which jurisdiction: its official app stores data on servers in China, according to its own privacy policy.

## What to check before buying

- That the contract states your data is not used for training, and how long it is retained.
- Corporate sign-in (SSO), user administration and activity logs.
- Where data is processed: if personal data is involved, Uruguay's Law 18,331 regulates international transfers.
- Connectors to your systems and who controls what information they can read.
- Total cost: licenses, API usage, training and the time of whoever administers it.

## Quick comparison

| Tool | Best fit if… | Watch out for |
|---|---|---|
| ChatGPT (OpenAI) | You want a general AI, custom assistants (GPTs) and connectors to many platforms. | Personal accounts used with company data. |
| Microsoft 365 Copilot | Your company works in Outlook, Teams, Word, Excel and SharePoint. | Messy permissions: Copilot surfaces whatever each user can open. |
| Gemini (Google) | Your company uses Gmail, Drive and Google Docs. | Checking what your Workspace plan includes. |
| Claude (Anthropic) | You work with long documents, careful writing, analysis or code. | Deciding which connectors to enable and with which permissions. |
| Open models | You need data to stay inside your infrastructure. | They require a technical team and maintenance. |

## How I help

- A comparison based on your tools, data and budget.
- Review of the chosen vendor's contract and privacy terms.
- Secure configuration: users, permissions, connectors and logging.
- Permission cleanup in Microsoft 365 or Google Workspace before turning AI on.

## FAQ

### What is the best AI for a business?

The one that fits the tools it already uses. For a Microsoft 365 company it is usually Copilot; for Google Workspace, Gemini. ChatGPT and Claude are the most versatile general-purpose options, and many companies combine two.

### How much do ChatGPT, Copilot or Gemini cost for business?

Vendors charge per user per month, with plans that change often. On top of the license you have to count training and administration. I quote at current rates and based on how many people will actually use it.

### Is it safe to use ChatGPT with company data?

With a properly configured business plan and a clear policy on what data can be uploaded, yes. With personal or free accounts, no: the company loses control over that information.
